Rota handover checklist for shift managers

A bad handover costs the next shift the first 30 minutes of service. A good one is a 5-minute conversation and a 10-line note. Use this as your standing checklist.
- 1
Staffing for the next shift
Who is on, who called in sick, who is late, any swaps that landed today. Anyone close to their 48-hour limit who needs watching.
- 2
Bookings and walk-in expectation
Total covers booked, any large parties, any allergens flagged on the booking, any VIPs. Walk-in expectation based on weather/event/last week.
- 3
Stock issues
What’s 86’d, what’s low, what’s on a substitute, what was meant to arrive but didn’t.
- 4
Equipment status
Any broken kit (fryer, ice machine, EPOS terminal, card reader). Who has been called out, when they’re expected.
- 5
Cash and floats
Float counted and signed off, safe drop done, card reader receipts reconciled, any voids over £20 noted with reason.
- 6
Customer issues still open
Any complaints comped or escalated today, any guest still waiting on a callback, any review left mid-shift.
- 7
Cleaning and compliance
Temperature checks done, fridge logs signed, allergen matrix updated for the day’s specials.
- 8
Tomorrow’s rota status
Confirm the next 24 hours of shifts are filled and published. Anyone who needs reminding to confirm.
- 9
Maintenance and admin notes for HQ
Anything for the area manager / owner that doesn’t need a phone call but does need a record.
- 10
Three-line written summary
Pin a 3-line summary in the team chat: covers, blockers, anything for the morning brief. The handover conversation is verbal; the summary is the audit trail.
When to do the handover
Aim for a 5-minute overlap between shift managers, not a passing-in-the-doorway hello. If both managers are needed on the floor, do it 30 minutes before the close changeover when service is winding down.
