How to work out hours on a timesheet
Subtract the start time from the finish time, take off any unpaid break, then divide the minutes by 60 to get decimal hours. Payroll wants decimals: 8 hours 30 minutes is 8.5, not 8.30. The common conversions are 15 minutes = 0.25, 20 minutes = 0.33, 30 minutes = 0.5 and 45 minutes = 0.75.
If you are still adding up paper timesheets each week, WorkSchedule totals hours automatically as you build the rota, so weekly hours and cost are visible before you publish.
Timesheet questions
How do you calculate hours worked on a timesheet?
Convert the start and finish times to minutes, subtract the start from the finish, then take off any unpaid break. Divide the result by 60 to get decimal hours for payroll — for example 8 hours 30 minutes is 8.5 hours.
How do I convert 45 minutes on a timesheet?
45 minutes is 0.75 of an hour. Divide the minutes by 60: 15 minutes = 0.25, 30 minutes = 0.5, 45 minutes = 0.75. Payroll systems normally expect decimal hours, not hours and minutes.
Should unpaid breaks come off the timesheet?
Yes. In the UK a worker on a shift over 6 hours is entitled to a 20-minute uninterrupted rest break, and that break is normally unpaid unless your contract says otherwise. Deduct it from paid hours so wages and minimum wage checks stay accurate.
Does this timesheet calculator handle night shifts?
It does. If the finish time is earlier than the start time — for example 22:00 to 03:00 — the calculator rolls over midnight and counts 5 hours.
